Policies and Procedures

VOLUNTEERS

All school volunteers must sign in and out of the volunteer book located in the school office. All volunteers working directly with students must have a clearance for tuberculosis. The California Health and Safety Code, Section 3454, and the Board of Education require volunteers to document tuberculosis clearance within 60 days before starting and every 4 years thereafter. The school nurse can provide a mantoux TB skin test and a Volunteer Aide Registration Form, available at the school office, which must be completed and signed by the principal. Volunteers at Point Dume Marine Science Elementary School are expected to:

BE KIND           BE SAFE           BE RESPONSIBLE

  • Sign in and out of the office each day and wear appropriate identification badge
  • Be patient and kind
  • Use respectful, encouraging and appropriate language when speaking with students and adults
  • Be prompt, reliable and conscientious
  • Respect the activities as outlined by the teaching staff, aides and administrator
  • Follow the established disciplinary policies and procedures consistently. All school rules apply to volunteers too.
  • Turn off all cell phones and pagers when working in a classroom or the library
  • Respect the privacy of all children
  • Keep observations, experiences and information confidential
  • To devote quality time to the classroom without distraction to student learning, younger siblings need to stay at home and may not be included in the classroom or on field trips

CONFIDENTIALITY
As a parent volunteer, any information that you may learn or become privy to is strictly confidential. This includes any information regarding student's behavior, academic performance and medical conditions and any information exchanged between you and the teacher. Parents who are not able to meet these confidentiality standards will not be allowed to volunteer.

IN THE CLASSROOM
Volunteers are not allowed to grade or assess any student work. Grading and assessment is the sole domain of the faculty. Volunteers may administer exams only under the supervision of the teacher.

FIELD TRIPS
Class Day and Overnight Trips Rules governing behavior on field trips are to assure the safety of our children. Please keep this in mind at all times on a trip.

ADULT DRIVERS

Parent drivers must stay for the entire trip must drive both ways. Drivers may not make unauthorized stops either going to or coming from a trip. The following information must be on file in the school office before a trip:
  • School District Driver Certification Form
  • Proof of a current driver's license
  • Proof of current vehicle registration and proof of liability insurance of at least $300,000 per occurrence with the actual dates for the term of your policy.
  • Safety belts must be worn at all times by all vehicle occupants
  • Cars should be full of fuel and in good working order before the trip begins.

Rules for Adult Volunteers (A.V.s) on Trips

  • To ensure the safety of the students, younger siblings may not attend field trips. Only students enrolled in the class going on a trip may attend.
  • Adult volunteers and students will wear the school T-shirt/sweatshirt for easy recognition on field trips. Students who are not wearing a T-shirt may check one out from the library.
  • The teacher is always in charge. Volunteers should look to the teacher for direction on a trip. Adult volunteers are to follow the program established by the teacher
  • Teachers will assign student buddies on each trip. Buddies will stay together at all times.
  • Adult volunteers are responsible for each student assigned to them on a trip. A.V.s are to stay with their assigned group and maintain visual contact at all times.
  • To insure adequate adult supervision in the event of an emergency, three-deep supervision must be in place at all times. This means that at least three adults must be present on a trip, and with the group, at all times. *In general, an adult volunteer should never be alone with a child unless the adult is his/her parent or guardian. Observance of the buddy system will ensure that this will not occur. This is for the child and adult's protection.
  • Smoking and alcohol consumption is not permitted on any school related trip
  • Drugs or medications, whether prescribed or over the counter, that could impair your cognitive and/or physical abilities are not permitted.
  • Drivers may not talk on cellular phones while driving to and from trips

FUNDRAISING


All fundraising activities will be coordinated through the PTA or school principal. This excludes activities that are not fundraisers, such as class parties and teacher gifts. Please consult with the principal if you have any questions.

GIFTS and DONATIONS

Gifts to Teachers: Class group gifts are coordinated by the Room Representative/Parent and are limited to a maximum of two per school year. Gifts from an entire class to a teacher as an expression of appreciation cannot exceed $10 per student per gift. Participation is voluntary. All children's names will be included in the acknowledgment of the gift, regardless of participation in the collection of monies.

Individual Gifts: Class group gifts are encouraged; individual gifts are acceptable. If a family decides to also give an individual gift, it is recommended that the gift have a value of no more than $25. Please be aware that a teacher's acceptance of an inappropriate gift may place a teacher in conflict with district policies and may jeopardize their employment. SMMUSD policy # BP 6300 - Acceptance of Gifts.

Gifts to Classrooms: Each year the PTA allocates a set amount of money to all classrooms for supplies. This money is raised through the family’s donation to the annual drive. PTA administration of these funds assures that grade equity is maintained as required by district policy. In addition, the SMMUSD provides funds to each classroom for supplies. New classrooms are allotted start-up funds from the PTA and school. Donations valued above $100 are to be channeled through the PTA with the principal's approval. School district policy prohibits teachers from accepting monetary donations.

Gifts to Entire School: There are no financial limitations on gifts to the entire school. Gifts made in addition to a family's direct donation should be taken to the school office for the principal’s approval and equitable dispersal.

FLYERS

Distribution of flyers to the entire school must be pre-approved by the principal. PTA flyers require additional approval by the PTA president. Flyers from outside organizations must be pre-approved by the District. Flyers for private businesses or other private endeavors will not be permitted for posting or distribution.

SCHOLARSHIPS

Scholarships are available; requests should be made to the principal.

ROOM REPRESENTATIVE GUIDELINES

Room Representatives are the conduits between the teacher and the parents. Their job is to notify all the classroom parents about any teacher request and to coordinate specific classroom activities.

Classroom parties: Classroom parties are coordinated by the Room Reps and the teacher. Room Reps will contact parents to request assistance in the planning and provision of party supplies, food entertainment and paper goods. Room Reps are responsible for notifying parents about time and place.

Gifts to Teachers: Class gifts are coordinated by the Room Rep and are limited to a maximum of two per school year. Donations should not exceed $10 per child, per gift.

Field Trips: Room Reps will remind parents that their children need to wear school T-shirts on all field trips. This is for the safety of the students.

Phone Tree: Room Reps will create and coordinate a phone tree for each classroom. This phone tree will be used to notify parents in case of an emergency (i.e., earthquake, flood, fire).

BIRTHDAYS

Birthdays are celebrated at the teacher's discretion as time permits. Please consult with your teacher in advance. Parents may provide a small treat that may be distributed quickly.

CLASSROOM NUTRITION GUIDELINES

PURPOSE:
To improve the nutrition environment in our classrooms thereby improving the health of our students. Foods high in sugar and fat will be limited and/or replaced with fresh fruits and vegetables and other healthy foods.

BACKGROUND:
American Medical Association reports that more than 30% of daily energy in the diets of 8 to 18 year-old US children and adolescents was contributed by LOW NUTRIENT DENSE (LND) foods with sweeteners and desserts jointly accounting for nearly 25%. ….with lower amounts of major food groups and most micronutrients" (Vol. 157 No.8, August 2003) Evidence suggests that increasing fruit and vegetable consumption is also effective in reducing the intake of LND foods.

IN CLASSROOM PARTIES:

HOLIDAY AND OTHER CELEBRATIONS
Classroom parties should serve fresh fruits, vegetables, and other foods high in nutrients. Limit dessert to one or one serving per child. Avoid desserts and other foods with trans fats (hydrogenated and partially hydrogenated vegetable oil). Water is the recommended beverage.

Senate Bill 12 and 965 went into effect as of July 1, 2007.  They were established to prevent childhood obesity and maintain standards nutrition provided to schoolchildren. We are mandated to comply with the law and adopted SMMUSD Wellness Policy.  It impacts 1⁄2 hour before, during and 1⁄2 hour after school hours, fundraisers, classroom parties and student stores.  Outlined are the dos and don’ts of the policy.

*Okay if  less than: 175 calories per serving, 35% calories from fat, 10% calories from saturated fat, 35% sugar by  weight.

Total Calories x 35% = Maximum number of calories from total fat;  Total Calories x 10% = Maximum number of calories from saturated fat

Weight of Item in grams x 35% = Maximum number of grams of sugar (1 ounce = 31.1 grams)
